    Why we built adept

Let’s go back to treating doctors like people.

Education leaders spend too much time looking at names on spreadsheets, inboxes and shared drives. The hours spent reconciling rotas, chasing forms and copying data between them are hours not spent on the people the programme exists for.

adept takes that administrative weight off educators, so trainees are met as names and faces, supported through every rotation, not managed as rows in a sheet.

The whole training year, in one place.

From the August changeover to the June ARCPs, run by the people who run the programme. The examples below use made-up trainees.

    1. 5 Augustchangeover Wednesday, then 3 February

      Placements and allocation

Plan every trainee’s placements across trusts and sites on one timeline, with each trust’s capacity and modules in view.

    2. Every weekon every placement

Supervisors, teaching and the trainee’s phone

Educational and clinical supervisors on every placement, a light meeting log, teaching attendance by QR code or check-in code. Trainees see their placements, ARCP checklist and calendar in the browser or the Android app; iPhone users use the web app.

    3. Any daycounted to the day

      LTFT, pauses and requests

Trainees ask for a new working pattern and see their completion date counted as the RCoA CCT calculator counts it. The programme director decides in one step.

    4. 12 May12 weeks before the August changeover

      Code of Practice notices

See which trusts and trainees were told in time, against 12, 8 and 6 weeks, and send each trust its arrivals list.

    5. Junethe ARCP season

      ARCP administration

Panels, review sheets and outcomes end to end, with early-warning flags and ESSR reminders before the panel sits.

The programme’s numbers, without the spreadsheet.

The figures a Head of School, a quality visit or the dean’s report asks for come straight from the records directors already keep, so they are ready when asked and they agree with the plan.

    • An annual programme report. The training year as a PDF, with a spreadsheet of the same figures. It names no one.
    • Proof of Code of Practice notice. When each trust and trainee was told, and how long joiners waited for a placement.
    • Every report exports as a spreadsheet or PDF.

Built around the people who run training.

    Training programme directors

Plan rotations and placements, oversee the whole cohort, run ARCPs, decide working-pattern requests, and report to the Head of School, all from one view of the year.

    College tutors

See who is arriving at your trust and when, oversee sites, modules and supervisors, and keep the local handbook (rota, contacts, induction) ready before day one.

    Trainees

See your placement plan and progression on your phone, ask for a change of working pattern, check in to teaching and add your dates to your calendar.

    Free for every trainee.

The CCT calculator counts to the day the way the RCoA, RCEM and RCPCH count, with a What if… for any change. Changeover dates for any rotation, as a calendar you can subscribe to.

    Example: ST4 from 5 Aug 2026, LTFT 80% from 3 Feb 2027 20 June 2031 An estimate, not a confirmed date.
